Why do clients miss appointments?
If you run a salon, a clinic or a studio, you know the scene: the schedule is full, you turned other clients away for that slot and, at the last minute, the chair is empty. In most cases the client does not mean any harm. The most common reasons are simple:
- They forgot. They booked two weeks ago by message and the appointment never made it into their calendar.
- They had no easy way to tell you. Calling to cancel feels awkward, so many people simply do not show up.
- They were not sure of the time. The details got lost in a long WhatsApp chat.
- Something came up and cancelling felt like more effort than not going.
Almost all of these reasons have the same fix: remind the client at the right moment and give them an easy way to confirm, reschedule or cancel.
What a no-show costs
Do the maths for your own business. If an average service costs €35 and you have two no-shows a week, that is about €70 a week, close to €300 a month in empty hours. That is before counting the time spent reshuffling the schedule and the client who could not get that slot.
7 steps to reduce no-shows
1. Instant confirmation after booking
As soon as the client books, they should receive a confirmation with the service, day, time and address. It removes doubts from the start, and the client has everything in one place instead of searching an old chat.
2. A reminder 24 hours before
This is the most important reminder. It gives the client time to rearrange their day or tell you they cannot come. If they cancel a day ahead, you can still fill the slot.
3. A reminder 2 hours before
The second reminder catches people who knew about the appointment but got distracted on the day. Keep it short: "Today at 15:00 you have an appointment at Studio Aurora."
4. An easy way to cancel or reschedule
It sounds backwards, but making cancellation easy reduces no-shows. If a client can reschedule in two taps, they will let you know. If they have to call and explain, they often do nothing. A slot cancelled in advance is a slot you can still sell.
5. Reminders in the channel the client uses
In Portugal, most people read WhatsApp much faster than email. Send reminders where the client will actually see them, and keep email as a copy with all the details.
6. A clear no-show policy
Write your rule in one simple sentence and show it at the moment of booking, for example: "Please cancel or reschedule at least 24 hours in advance." It does not have to be strict, but the client should know the slot is reserved just for them.
7. Prepayment for long services
For two- or three-hour services such as colouring or treatments, a small deposit at booking makes a big difference. People who have already paid part of the price rarely forget.
Manual or automatic reminders?
You can do all of this by hand: at the end of the day you open tomorrow's schedule and message each client. It works, but it has hidden costs. It takes 15 to 30 minutes a day, it slips on the busiest days (exactly when you need it most), and it depends on someone being available.
With an online booking system, confirmations and reminders go out on their own, at any hour, without anyone having to remember. The client books through your link, receives a confirmation and reminders 24 h and 2 h before, and can reschedule without calling you.
How to start this week
- Count how many no-shows you had last month. That number is your starting point.
- Write your cancellation policy in one sentence.
- Start sending the 24-hour reminder, even by hand.
- In a month, compare the number of no-shows.
If you want it all automated, ProntoBiz sets up your booking link with automatic confirmations and reminders in one working day. Reminders are included in the Pro plan, and we have dedicated pages for beauty salons and clinics.
